who owns reports and data created with field service documentation software

The customer — not the software vendor — owns all reports and data created using field service documentation software. With WECAVIS, every report, photo, voice note, and text submitted by field workers remains the exclusive property of the customer who created it.

WECAVIS receives only a limited, non-exclusive right to process and store that content for the sole purpose of delivering the service. This means:

  • Full customer ownership: All generated PDFs, defect records, daily reports, weekly reports, and Behinderungsanzeige documents belong to the customer.
  • Unrestricted use: Customers may use exported reports for their own operational purposes and share them with clients, general contractors, or any third party — for example, in insurance claims, KfW grant applications, or VOB-compliant warranty documentation.
  • Vendor liability boundary: WECAVIS does not assume liability for the factual accuracy or legal admissibility of exported content; customers retain responsibility for verifying their own documents before submission.

All data is stored centrally in the WECAVIS web portal, accessible only to authorized users within the customer's organization.
